How biometric attendance works

The details differ between products, but most systems follow the same four steps.

1. Enrolment

Each employee registers once. The system captures a face image or fingerprint, converts it into a mathematical template and links it to their profile.

2. Capture at check-in

At check-in the person presents their face to a phone or terminal camera, or their finger to a scanner, and the system creates a new sample.

3. Matching

The new sample is compared with the stored template. If the similarity passes a set threshold, attendance is recorded for that employee.

4. Recording and reporting

The time-stamped event is stored and appears in attendance reports, break calculations and payroll inputs.

Methods, privacy and what to check before you buy

Face recognition on phones

Employees check in with their own phone camera. It needs no dedicated hardware, so it suits distributed teams and small offices. This is the approach in WorkZen.

Fingerprint and dedicated terminals

Wall-mounted devices are common in factories and larger offices. Connecting a specific terminal depends on the manufacturer's API or SDK, so we check what your device supports before promising an integration.

Privacy and consent

Biometric data is sensitive and regulated in many countries. A sound design stores templates rather than raw images, limits who can access them, agrees retention, and informs employees and asks for consent where the law requires it. You should confirm your local legal requirements.

Accuracy limits and fallbacks

No recognition system is perfect: lighting, cameras and appearance changes cause false rejections. Good systems include manual review, an alternative check-in method and an audit trail for corrections.

Frequently asked questions

How does biometric attendance software work?

Employees enrol once so the system stores a template of their face or fingerprint. At each check-in the system captures a fresh sample, compares it with the stored template and records attendance if they match. The time-stamped record then feeds attendance reports and payroll.

Is biometric attendance legal and private?

Rules differ by country. Biometric data is treated as sensitive in many places, so employers typically need a lawful basis, clear notice and often consent, and must protect the data. We build with secure storage and access control, but you should confirm requirements with a local legal adviser.

Does it need special hardware?

Not for phone-based face recognition, which uses the employee's own device. Fingerprint terminals need hardware. We tell you what a chosen device supports before agreeing to integrate it.

Can it be fooled?

Every recognition system has limits. Good practice includes quality checks, anti-spoofing measures suited to the risk, manual review and an audit trail. We discuss the level of assurance you need.

What if someone cannot use face or fingerprint recognition?

There should always be a fallback, such as a supervised manual check-in with approval. We design that route so nobody is excluded.
